General EMR Migration Best Practices
Start Planning Early
Start 6-12 months before your target go-live. Data audits, contract exit negotiations, and staff prep always take longer than the vendor timeline suggests.
Invest in Training
Training is the single biggest predictor of whether a migration succeeds or collapses. Budget for role-based sessions, super-users, and at-the-elbow go-live support.
Budget Contingency
Add 15-25% contingency. Data issues, timeline overruns, and additional training needs surface in nearly every migration. The question is not if, but how much.
Validate Data Thoroughly
Run multiple test migrations and verify data accuracy before go-live. Medications, allergies, and active problem lists are patient-safety critical — errors here are unacceptable.
Plan Parallel Running
Keep the old system in read-only mode for 60-90 days post-go-live. Clinicians will need access to historical records that have not yet been migrated or reconciled in the new system.
Ensure Compliance
Both old and new systems must maintain HIPAA compliance during and after migration. Archive legacy data per your state record retention requirements (typically 7-10 years).
